The Jazz is scheduled to finish at 2:30, but will almost certainly go on
until 3pm. The room I've set aside for us is at the other end of the
Hotel (I can't have geeks mixing with normal people ;^)) and is some 20
foot by 40 foot (should be big enough). If we do start during the Jazz,
it won't interfere with us.

Agreed, and yes, I expect bits of kit, so I think it needs to be pretty
open-ended. Sometimes, I have no doubt that we'll have meetings where we
won't be able to spread kit about, so let's make use of it while we can.
